Front Office Coordinator
About the Role
Wessler is seeking a personable, detail oriented Front Office Coordinator to be the first point of contact of our Corporate Headquarters at our Indianapolis office and join our administrative department to help keep daily activities running smoothly.
Schedule would be full time consisting of 30-40 hours per week. Ideal candidate will be a strong communicator, technically competent in Microsoft, a proactive self-starter, a problem-solver with a willingness to learn, that is detail and quality-oriented, and works well in a team environment.
General Duties:
- Greet and assist visitors, clients, and staff in a professional, courteous and efficient manner.
- Answer and route phone calls, emails, and other inquiries promptly and accurately.
- Maintain a tidy and organized reception area, conference room, mail room and supply room.
- Receive, sort, and distribute incoming mail and packages.
- Prepare, execute and complete mail merge tasks using Microsoft Word and Excel for large mailings as needed.
- Coordinate, order and maintain office supplies and materials for assigned offices, including facility supplies (i.e. cleaning products).
- Coordinate internal and external meetings, conferences and lunches as well as prepare agenda and materials as requested.
- Coordinate company fleet reservations and assist accounting department with fleet maintenance scheduling as requested.
- Assist all departments with clerical support as needed, such as printing and collation of bulk documents and communications.
- Support special projects and company events as needed.
- Perform industry specific duties required and based on employer’s format training.
- Provide support to our operations group, including collecting, organizing and reporting forms, checklists, and related tracking systems.
Qualifications:
- Associate’s degree is preferred, or a minimum of 1 to 3 years as an administrative assistant or front desk assistant.
- Familiarity with Microsoft Office, especially Teams, Word, Excel, Sharepoint, OneDrive and Outlook.
- Comfortable with printers, copiers and related office equipment.
- Strong attention to detail, highly organized, friendly and helpful, dependable, and has the ability to work independently, take initiative and multitask
